Hoei Denmark A/S is a Danish design company that specializes in the production and sale of high-quality frames, mirrors, poster lists and print solutions. Based in Hinnerup, the company combines aesthetic Nordic design with flexible, customized solutions and a strong focus on sustainability – including FSC-certified materials, Danish production and dropshipping to minimize waste. Hoei Denmark is a trusted partner for both Danish and international brands and positions itself as an agile and scalable supplier in the market for framing and visual furnishing.

Challenge: Hoei Denmark was hampered by an outdated Microsoft C5-ERP with fragmented systems, slow response times and a lack of real-time integration between finance, storage and logistics, creating flawed data, inefficient processes and limited growth and decision-making opportunities.

A Digital future

When Hoei Denmark began to feel the consequences of their outdated IT system, it was clear that a change was necessary.

The company faced challenges such as inefficient and fragmented workflows, limited scalability and a lack of overview of logistics and inventory, just as the outdated Microsoft C5 ERP system could no longer meet the growing demands of customers and suppliers.

Slow response times and lack of integration between systems such as ERP, inventory management and finance resulted in flawed data handling and a slow decision-making process that hampered both growth and efficiency.

 

Efficiency and error-free systems in one upgrade

In order to solve Hoei Denmark's challenges, KOLLAB embarked on a comprehensive upgrade of the company's IT structure. The first essential solution was to implement a modern, cloud-based platform.

This new IT infrastructure made the system both more scalable and future-proof. The cloud-based solution significantly improved performance and stability and enabled Hoei Denmark to add new features easily and quickly as needs changed.

Another key solution was the integration of the company's ERP system with inventory management and the financial systems. An automated solution was developed which ensured that stock status, orders and financial data were synchronized in real time. This integration eliminated not only double registration, but also the human errors that could previously occur from manual data transfer between systems. This resulted in a marked improvement in data quality and a more efficient work process.

Scalability and compliance

The new IT solution was designed with flexibility and scalability in mind. Hoei Denmark could now easily adapt the system to the company's growth and expansion needs. The system was built on a modular structure, which made it possible to quickly add new functions without large investments or long development time. This flexibility gave Hoei Denmark the opportunity to keep up with both current and future requirements.

Security was another important factor in the upgrade of Hoei Denmark's IT setup. The implementation of modern security measures, including multifactor authentication and advanced access control, made the system far more resistant to cyber threats. At the same time, the system was secured according to current legislation such as GDPR and other relevant standards, which not only reduced the risk of data breaches, but also enabled Hoei Denmark to meet necessary compliance requirements.

User-focused optimization

A key goal of the upgrade was to improve the user experience. The old system was considered heavy and inefficient by employees, who often had to use manual workflows. The new solution was designed with users in focus, which meant that employees now had access to a much more intuitive system that greatly reduced the need for manual input. In addition, reporting tools and dashboards were optimized so that management could get a quick and accurate overview of the company's situation, which helped them make faster and better decisions.

KOLLAB's flexibility was clearly evident when we got started. Where other actors told us what we had to change to fit into the new system, their approach was reversed. They focused on what requirements the system had to meet and what had to be adapted so that the system suited our business. They therefore chose a team that suited us, consisting of several experts from the house. We still have tasks running today, which are planned extensions on the existing system. Since we are associated with the same people as when setting up, they know our solution, which is why there is 100% understanding and insight into the setup and tasks. So despite KOLLAB selling a solution that all other companies in the world also offer, it is their service, staff and approach to customers' tasks that means that we have selected them as a trustworthy partner and IT supplier.
