When 6,000 temporary staff need to be matched with companies every single day, it requires a system that simply works. JKS is Denmark's leading temporary staffing and recruitment company, daily processing thousands of time and payroll registrations. This demands high levels of precision, user-friendliness, and digital structure.
In collaboration with JKS, we have, over several years, developed and refined a complete digital ecosystem that connects all parts of their business – from the temporary staff on the ground to the clients in the companies and the consultants at JKS.
Challenge: JKS struggled with an outdated and impractical time registration system that was difficult to use for both temporary workers and customers and did not fit into the new digital system landscape. This hampered accuracy, user-friendliness, and efficiency in their daily operations. Therefore, the system needed to be modernized and simplified into a mobile-focused solution that ensures accurate registration and better workflow for all users.
A SYSTEM FOR THE TIMES
When a business relies on selling time, it is naturally crucial to have complete control over it – not just how much time has been spent, but also who spent it, and, importantly, what the time was used for. For years, JKS had been using the same time registration system. The system, which had been expanded multiple times, no longer functioned optimally. Customers found it difficult to log in and get an overview.
The system therefore needed to be rewritten to be simple for individual temporary workers to use, while also fitting into the new system landscape under development at JKS. This was a perfect task for our developers, resulting in a reliable and user-friendly mobile app that ensures high data quality in each registration through GPS data and sensors.
With the new time registration solution, it's not only JKS' employees who have gained a more user-friendly solution. The solution also allows temporary workers to easily check in via an app on their mobile phones, thereby initiating time registration. The solution, which was previously web-based, now runs as a mobile solution for temporary workers. This makes it easy for temporary workers to change registration areas and for companies to receive precise records for internal invoicing of temporary hours.
"It simply has to be correct. We need a system that works 100 percent reliably and efficiently—and that users find easy to use," says Søren Ingemann, Deputy Director at JKS. We can safely say that the solution has been a game changer, now that we can handle 6,000 payroll payments without hassle.
Three platforms, one integrated flow
The development of the time registration system marked the beginning of a larger digital transformation.
Together with JKS, we have since developed a fully integrated solution where the customer portal, temporary worker app, and internal system (JKS Plus) function as one unified flow.
-
The customer portal allows clients to create orders, view candidates, and approve hours submitted by temporary workers.
-
JKS Plus provides consultants with a complete overview of capacity, bookings, and matching. From here, the right temporary worker is booked for the task, either manually or via search filters, after which the temporary worker receives the assignment in the app.
-
The temporary worker app centralizes everything for the temporary worker: assignments, calendar, days off, and time registration.
Everything is directly integrated with Microsoft Business Central, ensuring data flows automatically and flawlessly throughout the entire system – from booking to payroll.
A dynamic solution
The project doesn't stop here. The collaboration between our developers, designers, and JKS' own specialists continues to push the boundaries of what the system can do. New features are continuously tested and rolled out, always with end-users at the center.
It's a partnership that has not only digitized a complex business but has also simplified and refined the way people, data, and processes interact.
“Once you start digitizing, new ideas and desires for making things and processes smarter constantly emerge. It might sound a bit cliché, but we believe we are well on our way to a digital transformation. Both clients and temporary workers have been very active, contributing suggestions and new ideas.”
Søren Ingemann, Deputy Director at JKS
